SPRITE+ Privacy Policy

We collect and store the minimum information necessary for us to carry out our functions and to enable you to participate in SPRITE+ activities. We keep your information until you tell us to remove it, or until the SPRITE+ grant ends (31 August 2027), whichever is earlier.

Joining SPRITE+

If you join SPRITE+ as a member, a Fellow, or a representative of a Project Partner, you will have the opportunity to join our email lists.

If you request to join our information lists, we will use this information to sign you up to that group. In order to do this we necessarily have to share your details with the list server service: JiscMail. The information list is managed within the membership database; this list is used for providing details about SPRITE+ news and events. We have also commenced using EmailOctopus for our monthly newsletters. Only SPRITE+ members who consented to being apart of the JiscMail mailing list have been migrated to EmailOctopus.

Our website (SPRITEHub) uses a number of plugins for functionality, and has its own Privacy Policy and Cookie Policy.

Attendance at SPRITE+ workshops and events

When SPRITE+ holds in-person events, such as workshops and lectures, we typically collect information on participants including:

  • Name

  • Email

  • Place of Work

  • Work sector

  • Interest and experience in the topic of the event.

The data may be processed using the online database tool Airtable. The data is not shared with any other third parties and Airtable themselves do not access the data, except if required to do so by law; see Airtable’s own privacy policy for more details. For some events we may use the platform Eventbrite for registration purposes. When we do so we will only collect the minimum amount of information needed for registration purposes. Personal data collected for event management purposes by us might be kept by us for post-event communications (e.g., the circulation of slides) but will be deleted at the end of the grant August 2027 at the latest.

Emailing SPRITE+

The SPRITE+ email account admin@spritehub.org is hosted by Google and accessed only by the SPRITE+ Project Manager and Director. We retain emails as long as we need to in order to carry out our activities.

Legal basis for processing your personal data

The legal basis we use for processing your personal data is Public task.

Public task: the processing is necessary for you to perform a task in the public interest or for your official functions, and the task or function has a clear basis in law.

Right to lodge a complaint with a supervisory authority

If you think we have infringed your privacy rights, you can lodge a complaint with the relevant supervisory authority, which will normally be the UK Information Commissioner’s Office.
